What it does

Agendas, attendance, minutes and action items that carry forward.

Numbered meeting series

Meetings of the same type form a series, such as OAC Meeting #1, #2 and #3. Types include OAC, sub coordination, safety, progress, preconstruction, closeout and owner.

Action items carry forward

Open action items move to the next meeting in the series, marked with where they came from. The earlier minutes still show them as carried.

Schedule the next one in a click

Create the next meeting with the same people, place, time and agenda one cycle later: a week for most series, two weeks for sub coordination.

Attendance and minutes

Mark who was present, write the minutes and complete the meeting. The list flags past meetings that still need minutes.

Assigned action items

Give each action item an assignee from the project team and a due date. Assignees can mark their own items complete.

Distributed minutes are locked

Mark the minutes distributed to attendees once they are final. They lock, and the list tracks which meetings still have minutes unsent.

How it works

Step by step.

From the first step to the final record.

  1. Step 1

    Schedule the meeting

Pick the type, date, time and location, invite attendees from the project team and write the agenda. Choose whether to carry over open items.

  2. Step 2

    Run it

Take attendance, write the minutes and add action items with an assignee and due date.

  3. Step 3

    Complete and distribute

Complete the meeting, then mark the minutes distributed to the attendees. The minutes lock.

  4. Step 4

    Schedule the next one

Create the next meeting in the series in one click. Open action items come with it.

Questions

Meetings, answered.

What happens to open action items after a meeting?

When the next meeting in the same series is created, open items move to it with a reference to the meeting they came from. The original is marked carried, so the earlier minutes stay accurate.

Who can record minutes?

The GC runs meetings: scheduling, attendance, minutes, action items and distribution. Other parties see the meetings they are invited to, and anyone assigned an action item can mark it complete.

Can minutes be edited after they are distributed?

No. Once the minutes are marked distributed they are locked.

Which meeting types are supported?

OAC, sub coordination, safety, progress, preconstruction, closeout, owner and other. Each type keeps its own numbered series.
