Subcontractor compliance and COI tracking software

Know which subs you can pay today.

Compliance tracks every required document for every company on the job: insurance certificates, W-9s, contractor licenses and lien waivers. Request what's missing, review what comes in, and see expirations coming. When a required document lapses, that company's payments are put on hold.

What it does

COIs, W-9s, licenses and lien waivers, tracked by company.

Every document type a GC tracks

General liability, auto, workers' comp and umbrella COIs, W-9s, contractor licenses, and conditional or unconditional lien waivers for progress and final payments.

Request with a due date

Ask a company for a document with a due date and a note. Lien waivers are tied to a specific commitment and pay application.

Review before it counts

Documents a sub turns in wait for GC review. Approve them, or reject with a note so the sub knows exactly what to fix.

Expirations you can see coming

Each document is valid, expiring within 30 days, expired, awaiting review or missing. Carrier, policy number and license number are kept with it.

Payment holds

A missing, expired or unreviewed required document puts that company on payment hold, shown on their commitments.

Grouped by company, problems first

Documents are grouped by company, with companies that have blocking items at the top and missing or expired documents first within each.

How it works

Step by step.

From the first step to the final record.

  1. Step 1

    Request the document

The GC picks the company and document type, sets a due date and adds a note. It shows up for the sub to act on.

  2. Step 2

    The sub turns it in

The sub submits the document with its expiration date and carrier, policy or license number. The GC can also enter one on the sub's behalf, which is approved immediately.

  3. Step 3

    GC reviews

The GC approves the document or rejects it with a note. A rejected document goes back to missing until the sub resubmits.

  4. Step 4

    Follow up in one click

For anything missing, expired or about to expire, the GC re-requests it from the document's page with a new due date.

Questions

Compliance, answered.

What documents can I track?

General liability, auto liability, workers' comp and umbrella/excess certificates of insurance, W-9s, contractor licenses, and lien waivers (conditional or unconditional, progress or final).

When is a company put on payment hold?

When a document that's required for payment is missing, expired, rejected or still waiting on GC review. Expiring documents are flagged but don't hold payment until they expire.

Can the GC add a certificate the insurance agent sent directly?

Yes. The GC can enter a document on the sub's behalf, and it's approved as soon as it's entered.

Can subs see other companies' documents?

No. A subcontractor sees only their own company's compliance items.
